Privacy policy
The documents you send us say a lot about you. This page explains what we do with them and with any other personal data, in line with Regulation (EU) 2016/679 (GDPR).
Who processes the data
The data controller is Lexivo SRL, represented by Olga Cristina Özarslan. For any question about your data, you can contact us by phone at +40 722 315 273, on WhatsApp or by email at contact@lexivo.ro.
What data we process
- contact details: name, phone number and, where applicable, email address, when you give them to us;
- the content of documents sent for translation: these may contain identification, civil status, education, legal or, occasionally, medical data;
- course data: language level, chosen format, the company enrolling you (for company courses);
- minimal technical data: your cookie choice, stored in your browser.
Why, and on what legal basis
| Purpose | Legal basis |
|---|---|
| replying to quote requests and questions | steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) |
| translation, notarisation and apostille of documents | performance of the contract (Art. 6(1)(b)); for special categories of data, your explicit consent (Art. 9(2)(a)) |
| organising courses | performance of the contract |
| invoicing and accounting records | legal obligation (Art. 6(1)(c)) |
Who we share it with
Only those needed for the service you requested: the notary’s office we work with, for notarisation; the authorities that issue the apostille or the superlegalisation (consular legalisation); communication service providers (for example WhatsApp, when you write to us there) and accounting providers. We do not sell or rent data.
The forms on this website
The quote forms do not send anything to a server of ours. When you press “Send on WhatsApp”, the text opens in your WhatsApp app and is sent only if you send it yourself. From that point on, the message is also subject to WhatsApp’s privacy policy.
How long we keep it
We keep documents sent for translation for as long as needed to complete the service and to make any corrections you request, and then we delete them, except for those the law requires us to keep (for example accounting documents, for the period required by law).
Your rights
You have the right of access, rectification, erasure, restriction, portability and objection, as well as the right to withdraw your consent at any time, without affecting the processing carried out before the withdrawal. To exercise any of them, write to us. You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) (dataprotection.ro).
Security
Only the translator and, where necessary, the notary’s office have access to your documents. We send them only through the communication channels you choose.
